Why is the ride I submitted earlier today not showing up on the schedule yet?

We have multiple volunteers that review and approve the rides, and most of the time rides are approved very quickly (sometimes within minutes). There may be occasions when the volunteers are out biking (we bike too) or traveling and it could take a while to review/approve the rides. If it hasn't been posted after a day or so, send us an email.

 

 

Can I still submit a ride if I've missed the 96 hour deadline?

No, the deadline exists to allow time for rides to be reviewed /posted and for members time to see the ride

Remember that you can still post an e-ride on the TCBC message board. Use the E-Ride forum.

 

 

How do I cancel a ride?

The full cancellation protocol is located here but in short, here's what you need to do:

1 - First, try to find a substitute leader so you don't have to cancel

2 - If you have to cancel the ride, post a message on the TCBC message board about the cancelation, use the Ride Cancel or Delay forum   * REMEMBER - if you cancel the ride on the message board it can't be lead for mileage credit.

3 - Show up at the ride start on time or send someone else

4 - Let Ride Stats know that it was canceled by emailing ridestats{at}biketcbc{dot}org

 

How do I reschedule a ride that was canceled?

1 - Show up at the ride start, tell people that show up that you are going to reschedule the ride (must be within 30 days)

2 - Put a message on the TCBC message board about the new date, use the Ride Cancel or Delay forum

3 - Make a note of the original date on the ride sheet

 

Do I have to show up at the ride start for a canceled ride?

Here's what the policy says:

For all rides, the option to cancel the ride is the sole prerogative of the leader, but leaders must show up at the ride start on time or send a qualified replacement even if their intention is to cancel the ride, except for the following circumstances:


For winter, night, or mountain bike rides and all rides starting outside of the Twin Cities metropolitan area, if the ride leader wishes to have the option to cancel the ride without going to the start, then the ride leader must provide his/her phone number in the ride description along with the statement "call leader before coming to start to see if ride has been canceled".

 

 

If I can't lead a ride and riders show up, can I send the group out without a leader?

No, You must find a qualified current leader to substitue for you or cancel the ride. For a ride to be official with insurance and mileage credit, there must be a ride leader and one other rider on the ride.  Cancelled rides can be rescheduled by the leader for up to 30 days after the original date using the message board.

 

 

Why am I not getting confirmation of my ride postings?

To get confirmation emails from the scheduling system, make sure that schedule{at}biketcbc{dot}org and schedule{at}biketcbc{dot}net are in your address book. The automated email confirmations come from the .net email address. Check that your email program isn't blocking these.

 

 

How much detail should I include in the 'Depart from' field?

There is a max that can be entered in this section, but try to put in enough detail to be meaningful and assume no local knowledge by the reader, a street address is best. eg "Lake Harriet Concession Stand" might be clear to the regulars on a ride or people familiar with that area of town, but we get quite a few out of towners that see our web site and want to ride with us, or people from the Twin Cities that may not be familiar with a particular neighborhood. Put in a location (parking info if relevant) and address or cross streets. Also, if you put it in address format (street address, city, state, zip code) it is much easier to use in mapping software, navigation devices and smart phones. There is a maximum of 255 characters that can fit in this field. If you put in more characters than that you will get an error message. Use the ride description field if you need long directions to the ride start. Putting the start location town in the title of the ride also gives people a quick way to see where a ride starts when they're looking at the main schedule page, like this: County Express (Roseville).

 

 

How do I correct an error in my ride submission?

Send and email to schedule{at}biketcbc{dot}org with the complete correct information and name of the ride and date that it is fixing

 

 

How do I post an Outreach Ride?

The full policy is located here but in short this is what you have to do:

1 - Get your ride approved by the Outreach Ride committee (outreach{at}biketcbc{dot}org)

2 - Submit it to the electronic schedule on the TCBC website 30 days prior to the earlier of the event date or the closing of registration for the ride

3 - Submit a description to the webmaster for the Outreach Ride page on the website (webmaster{at}biketcbc{dot}org)

 

How do I get my Overnight or Outreach Ride on the website?

After you get your ride approved, look at the Overnight Trips or Outreach Rides page, write your ride description in a similar format and email it to the webmaster. You can use the same description that you used when submitting your ride to the calendar, but submitting the ride to the schedule does not mean that it will automatically be posted on the website page.

 

 

I'm a new ride leader this year, when can I expect to receive my $40 refund for leading four rides this season?

Since the TCBC fiscal and ride year ends on October 31st, your refund will be mailed sometime in late November.

 

 

How and when should I submit my TCBC map copying expenses for reimbursement?

If it's not a financial hardship for you, please save your receipts for map copying expenses and submit them for reimbursement by October 31st, the end of TCBC's fiscal year. If you need reimbursement sooner than that, please wait until the total is a significant sum. Send all requests for reimbursement to the TCBC P.O. Box. Please do not deduct map copying expenses from monies you receive for non-member ride fees, membership fees, etc.
