Minutes of the Board of Directors meeting: August 5, 2008

MINUTES The minutes for June were approved with changes.


REPORTS

  • TREASURER: Tony Stifter reported that June and July’s main source of revenue came from Membership dues, the Watermelon ride and WOW. The largest expenses were for the same two rides (Watermelon and WOW) and the newsletter. Final report for Watermelon will be next month.
  • NEWSLETTER: Discussion ensued on mentioning other people in articles written by members. Kelly Hazel suggested that cyclists being written about should be asked for permission prior to publishing.
    MEMBERSHIP: 1629 members
  • RECOGNITION CORNER: WOW volunteers - Chair Julie Kosbab, Jon Kosbab, David Gepner, Hugh Gitlin, Tony Stifter. Mike Beadles, Kristi Linder, Kristine Poelzer for representing TCBC at a Target fair.
  • OUTREACH: Lisa Austin reported that the steering committee for a state organization will be drafting by-laws and creating a logo at their next meeting. Lisa is also coordinating the Freewheelin’ Bike Stations during the RNC Sept 1-4. 1000 bikes provided by Humana and Bikes Belong are free for use to delegates and the public.
  • SAFETY: Two recent club accidents raised questions of increasing safe practices when riding in a pace line. Cyclists should ride at a reasonable speed, keep a wheel’s distance and point out road hazards. Ride leaders need to continually emphasize safety in their briefings and in their example.


BUSINESS

  • ADVERTISING COORDINATOR POSITION: Pete Hawkins reported that Kristine Poelzer announced her resignation of this position effective October 6, 2008. Lisa Austin presented a proposal to structure the advertising program with a Marketing Committee similar to the web team concept with an advertising coordinator to oversee the program and account reps for individual accounts. Advertising would shift to a sponsorship level with a combination of ads in the newsletter, online and club events. The Board approved a motion to develop a marketing program with a marketing committee.
  • ANNUAL RECOGNITION DINNER: The board approved Friday Jan 16, 2009 as first preference and Fri Jan 23 as a second choice date.
  • ANNUAL MEMBERSHIP MEETING: Sunday November 2 - members receive official notification via postcard.
  • BOARD NOMINATING COMMITTEE; Five board positions are up for election at the membership meeting. Laurie Holm and Pete Hawkins will run for re-election. Mike Beadles was unsure. Katie Angle and Charles Breer are not running. Katie Angle will head up the nominating committee. The board expressed an interest in representation for the B and C riders and for a person knowledgeable in database technology. The deadline is Sept 8 for the October newsletter with the candidates’ bios.
 
  • TCBC ANNUAL DONATIONS: The Board agreed to send contributions to the same groups and same amounts as 2007 before November 1:
    L.A.B. $100 dues + $200 Donation - Pete Hawkins
    MN Parks & Trails $100 dues + $100 Donation - Garry Glubka
    Midtown Greenway Coalition $100 - Doug Nelson
    Transit for Livable Communities $100 - Lisa Austin
    Bolder Options $200 Donation - Katie Angle
    Gateway Trail Association $100 Donation - Charles Breer
    MN Bicycle & Pedestrian Alliance $100 Donation – Lisa Austin

  • NEW JERSEY/LOGO: The board agreed to seek a committee with a design contest for a new jersey. The logo will be discussed at a future meeting.


OTHER

Jim Pederson presented stats on rides comparing the last five years by number of rides and web or newsletter for each month. Summer months 2008 total about 300 each month.
