The meeting was called to order at 6:31 pm – Diane
The minutes from April 7, 2015 meeting were reviewed. One minor amendment was suggested and noted. Gina made a motion to accept the minutes with the suggested amendments. Pete seconded the motion. The motion was passed.
Treasurers Report – Roger
Refer to Twin Cities Bicycling Treasurer Report – dated April, 2015. Roger did a demo on how well the automated blue pay system is working.
Master Authority has rights in the Blue Pay System. We would like to have an additional person. Currently only Gina S. has that ability. We are looking for someone with Quick Books experience for this role.
Roger will be gone the month of June and needs a back-up. George can sign in Roger’s absence.
We need someone to collect cash at the Watermelon ride.
Membership Report – Diane
Refer to the May 1, 2015 report for detail. There appears to be a discrepancy with the percentages. Diane will reconcile with Mary Derks.
TCBC Ride Marshall & Volunteer Vests
The new vests have been purchased. They were worn for the first time at the Ironman and looked really smart.
Home Printing Policy-Ride Leader Expenses
A Reimbursement for Home Printing policy has been drafted by Pete H:
Ride Leaders may submit all of their TCBC related copying and mailing expenses to the TCBC Treasurer via the TCBC P.O. Box by October 15 of each year for reimbursement. Any such expense incurred after October 15 should be included in the following year’s total.
Receipts are required for all copying and mailing expenses. The only exception to this rule is that Ride Leaders may be reimbursed at the rate of 10 cents per copy for copies made on their home printers. This reimbursement requires the submission of a log signed by the Ride Leader showing the date, quantity and reason for the copies being made. The maximum yearly reimbursement for copies made on home printers is $50, without special TCBC Board approval.
For all copying and mailing reimbursements, TCBC reserves the right to deny payment if the amounts are deemed by the TCBC Board to be unreasonably high.
Kasey made a motion to approve the policy as stated above. Pete M. made a second motion. The motion passed.
Need banquet coordinator. We have an individual we would like to approach.
We have on on-line sign-up method for volunteers.
Science Museum has asked us to have a table. The target age range is 20-31 year-olds. The event is June 4th. Kasey and one other member will attend.
Jeff Ramburg is stepping down. Mike Kubes is taking over this function.
Minnesota Bike Pedal 2015 Conference – Diane
Diane presented on a panel at the conference. She provided stats and challenges related to managing the club.
Expired members who continue to ride will get a gentle reminder email as a first notification regarding their membership status. The Board will get a list from Michelle of the expired members.
TCBC Website Header/Banner – Diane
Diane discussed the banner with Kate Kovar, who thought the banner/header should remain static and the photos below (as previously done). All the pages on the website would change on the header, not just the home page.
According to Steve Scott, we can change photos on the header once per month.
It was decided that the Board would like to give the new header a trial for a few months with the photos at the top. Steve will replace the photos. The source of the photos will be photos provided by members. Note: this will update on all Joomla pages only. Not Neon.
Diane will follow-up with Kate and Jim regarding details.
Spring All Club Ride
There are 4 routes: 19, 36, 47 and approximately 65 (exact mileage to be finalized).
Fall All Club Ride
Tom Brix will be asked to coordinate this event.
St. Paul Classic
Rob Mosimann will be asked to coordinate.
The location and routes are the same as last year. Routes will include 15, 25 and 52 miles. We will not be having music at the Snail Lake Pavilion. Doug requested the Board consider road route markers using tape (many color) as an option. The cost is $76.00. The budget was reviewed and was the same as the planned budget for the event.

A motion to adjourn the meeting was made by Pete M. at 8:16. The motion was seconded by George B. The motion passed. The meeting adjourned at 8:16 pm.
